Zuma Lift Service is hiring a Service Writer / Service Coordinator to be the “control tower” for our service department.
We’re a 20-year aerial lift dealership based in the Fraser Valley, with one of the largest lift service shops in BC. We are very tech-forward (ERP, digital workflows, almost paperless) and support customers across the Valley and beyond with parts, field service, and shop repairs.
About the Role
You will support our Service Manager and technicians by running the service desk and field dispatch. Your main responsibilities:
Field scheduling and dispatch
- Own the schedule for our field tech
- Book jobs, group them logically, and keep customers clearly informed
Service intake and admin
- Answer inbound service calls and emails
- Capture the right details and create clean tickets in Odoo for field and shop work
Support for shop service
- Open and maintain shop work orders in the Service Software
- Make sure jobs have clear notes, machine info, and customer details for the Service Manager and techs
Quotes and customer updates
- Turn tech notes into draft estimates with the Service Manager’s input
- Send quotes, track approvals, and keep customers updated on status and next steps
Payments and data security
- Handle customer and payment information carefully and securely
Software and reporting
- Keep ticket stages up to date so nothing falls through the cracks
- Attach photos, notes, and approvals to the right jobs
- Provide simple weekly views of work in progress and quotes outstanding
This role keeps the office and systems organized so the Service Manager and techs can stay focused on fixing machines and solving problems.
What we are looking for:
Experienced in coordination/admin
- Background in service coordination, dispatch, office admin, or similar
- Experience around trades, equipment, HVAC, trucking, auto service, etc. is a plus
Strong with computers and systems
- Comfortable in Chrome, Gmail, online calendars, and web-based software
- Type quickly and accurately while talking on the phone
- Experience with an ERP/CRM (Odoo, SAP, ServiceTitan, etc.) is an asset
Organized “control tower” mindset
- Like knowing where every job is at and what is next
- Enjoy checklists, clean data, and tidy schedules
- Comfortable spending most of the day at a desk
Calm, clear communicator
- Professional and friendly on the phone and in email
- Can deal with stressed customers without getting rattled
- Ask good questions to get the full picture before booking work

Zuma Lift Service is an exciting, growing, established company in Chilliwack. We warehouse, supply, and ship parts to our inside service team, local customers, and partners across Canada. You will split your week between:
- Cross-border parts pickups in Sumas, WA and returning to Chilliwack, about 15 to 20 hours per week. Expect to cross the border most weekdays.
- Shipping and Receiving in our Chilliwack warehouse for the remainder of the week.
We train the cross-border importing into Canada process (CSA self-assessment and CARM basics). If you bring the right attitude and attention to detail, we will teach you the steps, documents, and systems.
- Drive to Sumas for parts pickups, return to Chilliwack, complete import paperwork, and keep accurate logs.
- Receive parts against purchase orders, label and bin correctly the same day.
- Pack and ship orders by courier and LTL, enter tracking, and update internal teams.
- Keep the warehouse tidy and safe. Support light cycle counts.
- Enter basic data in our ERP. Keep records audit ready.
- Valid passport and eligibility to cross the Canada–US border almost daily.
- No criminal record that would restrict cross-border travel.
- Clear driving abstract and reliable, on-time habits.
- Shipping and receiving experience in a warehouse environment (minimum 1 year).
- Able to lift up to 50 lb and use pallet jacks. Basic computer skills.
- NEXUS, forklift certificate (or willing to obtain within 30 days).
- ERP experience (Odoo or similar), courier portals.
- Basic customs terminology and HS code awareness.
- Stable, growing company with room to advance.
- Paid training on imports and clear procedures.
- Hands-on role with variety and ownership.
- Full-time, weekdays. Flexibility for urgent pickups when needed.
